Case Study: HR Transformation Program PMO to drive enhanced Efficiency, Effectiveness and Change


MI-GSO | PCUBED was engaged by an Information Services Company to provide project management services in support of their global HR Transformation Program.  The global program was aimed at enhancing HR efficiency and effectiveness through simplifying payroll, improving service delivery and improving global human capital, data, processes and systems.

The Challenge

In order to streamline its payroll operations, the client organization decided to adopt a global HR platform, implementing ADP, Workday and People Doc, all of which would seamlessly and simultaneously act as a single source of truth for employee information, act as a portal for employees, as well as a document management solution.  The key challenge was not the technical implementation, but how to manage the large scale change as it impacted all employees – globally, regionally and locally – without negatively impacting all employees.

The Solution

MI-GSO | PCUBED provided the transformation program with a combination of project management and change management expertise, leading a PMO to connect all client Project Managers with a holistic vision of the overall transformation plan, risks, issues and communications.

The PMO worked along side the client, across 36 countries, to articulate their vision for the future state, identify uniform processes across the new technology platform and manage the change.  Supporting the Program, the PMO developed a Project Management Framework, rolling out a Readiness Assessment process, evaluating progress for each roll out wave on the roadmap.  The team provided planning support, identifying root cause, impact and potential solutions as high level roadblocks were identified, supported by weekly program level Power BI reporting and trend analysis.

Finally supporting the high level change, the team defined a Communications Plan along with appropriate Governance structures, including a Program Board (HR Change Management), a Change Board (Employees) and a Sponsor Board (Executives). 

The Results

The organization has successfully launched the early adopter stage of the program, onboarding over 1000 employees in 2 months and consolidating several payroll providers into the new HR Portal, achieving targets for increased automation, reduced complexity, and lower overall cost for payroll
